Privacy Policy

1) Who we are

This privacy notice explains how Smile Studio collects and uses personal data when you visit our website, contact us, or book an appointment.

Data controller: Smile Studio (Switzerland)
Email: info@smilestudioswiss.com
Phone: (+41) 22 700 20 20

2) What this notice covers

This notice applies to:
• Website visits and enquiries
• Appointment bookings and first consultations
• Messages you send through forms, email, or phone
• Requests related to payment support or financing options, if available

Swiss law requires transparency when collecting personal data.

3) Personal data we collect

We collect only what we need for care, communication, and lawful clinic operations.

Information you provide
• Name, email address, phone number
• Date of birth and address (for identification, file accuracy, and eligibility checks where relevant)
• Appointment details and the reason for your visit
• Messages you send to us
• Health and dental information you share with us (this is sensitive data and is handled with strict confidentiality)

Information collected automatically on our website
• Device and browser data (for example IP address, browser type, pages visited, time spent)
• Cookie and similar technology data, depending on your browser settings and consent choices

4) How we use your information

We use your personal data to:
• Respond to enquiries and communicate with you
• Schedule and manage appointments (confirmations, reminders, rescheduling)
• Provide clinical care and maintain accurate dental records
• Prepare treatment plans, cost estimates, and next steps
• Improve our website, services, and patient experience
• Meet legal, regulatory, and professional obligations in Switzerland

5) Marketing messages and opt-out

If you choose to receive updates, offers, or clinic news, we may send marketing messages by email or SMS.

In Switzerland, electronic marketing generally requires prior consent (opt-in) and each message must clearly identify the sender and include a simple unsubscribe option.

You can opt out at any time:
• By using the unsubscribe link in a message, or
• By emailing us at info@smilestudioswiss.com

Appointment and service messages (for example booking confirmations or changes to your visit) are different from marketing. If you opt out of marketing, we may still contact you about essential appointment matters.

6) Financing and eligibility checks

If you request financing or payment options (when offered), we may collect additional details needed to support your request, such as date of birth, address, and the estimated treatment amount.

Financing decisions are made by the financing provider, not by Smile Studio. The provider may require information to assess eligibility and may run creditworthiness checks under Swiss rules for consumer credit.

Where possible, sensitive financial details are provided by you directly to the financing provider.

7) Who we share data with

We do not sell your personal data.

We may share your data with trusted service providers only when necessary to run the clinic and deliver services, such as:
• Website hosting and technical providers
• Appointment, form, or communication tools
• IT and security providers
• Laboratories or clinical partners involved in your care (only what is necessary)
• Financing providers, only if you ask us to support a financing request

These providers act on our instructions where applicable and must protect your data.

8) Cross-border data transfers

Some service providers may process data outside Switzerland (for example cloud hosting, email systems, analytics). When personal data is transferred to countries without an adequate level of protection, Swiss rules require appropriate safeguards.

9) Data retention

We keep personal data only as long as needed for the purposes described above, including legal and professional obligations. Clinical records are retained for the period required under applicable Swiss and cantonal requirements, and for patient safety and continuity of care.

10) Data security

We use reasonable administrative, technical, and organisational measures to protect personal data, including access controls and secure handling of clinical information. No system can be guaranteed 100% secure, but we work to reduce risk and prevent unauthorised access.

11) Your rights

Swiss data protection law gives individuals rights related to their personal data, including the right to request access to data we hold about you and to request corrections where information is inaccurate.

To make a request, email info@smilestudioswiss.com. We may ask for identity verification to protect your information.

12) Cookies and analytics

Our website may use cookies and similar technologies to:
• Make the site work properly
• Improve performance and user experience
• Measure usage and improve content

Where required, we ask for your choices through a cookie banner or settings tool. You can also control cookies through your browser settings.

13) Updates to this notice

We may update this privacy notice from time to time. The version published on this page is the current version, with the effective date shown at the top.

If you tell me what tools you actually use (Google Analytics, Meta Pixel, Mailchimp, WhatsApp forms, booking plugin name, and your hosting provider), I will tighten Sections 7, 8, and 12 so the policy precisely matches your setup without adding anything you do not use.
